The perfect kick off; here’s 5 steps to make it possible
Did you just sign a new project with a client? Congratulations!
We certainly know how does it feel and we love it. Specially, because it opens the door to new ideas, challenges and results.
Now here’s the big challenge: to be able to communicate everything to your team.
You may be asking; Where should I start? What should they know?
That’s the importance of a good kick off.
We give you 5 tips that surely will be handy so all the members of your team understand what the client wants.

What is a kick off? It’s more than just the beginning of a new project; it is the time to lay the foundations of it. And that will lead to an absolute success.
During that meeting, all the member of your team are gathered together to determine what role will they play during the development of the project.
We have a system that might be useful to you. It’s not that we invented anything new, but since we use it we’ve been improving the quality of our meetings. We are talking about the 5W Method: Who, What, Where and Why.
Let’s do this!
WHO – If your team is big, choose wisely
It doesn’t mean that the rest of your team is not important. But a meeting with a lot of participants most probably will make the communication more difficult. And things will not go smoothly.
If you have several people on each one of your teams, ask the team leader to join the kick off and make sure they’re good communicators. This is not just a simple suggestion; they will have to explain everything you discussed during the kick off with the members of their team.
WHAT – Define your objectives
This is something you must do before the kick off starts. The objectives are a clear reflection of the results you want to obtain.
Some objectives will be more general, and some of them more specific. Each one of them will be useful to -again- improve the communication between the members of all the teams and between themselves.
Also, when you stablish clear objectives from the start, the asisstants will be able to find their tasks.
WHERE – A good place for everyone
It is very important to indicate where will you do the kick off because that tiny detail will make things clear and it will create a sensation of commitment to everyone.
Sometimes it just as easy as say “See you at the meeting room”. But depending on the structure of your business or your team, you might have to make a reservation in a bigger place, programme a videocall for the ones who work from home o ask them to come in person.
So if it’s possible, do it with enough time. If some of your workers have to travel or even find accommodation for one night, they will need a bit more time or organize it than the ones who live nearby.
Once the place is sorted, the event will not be an abstract concept anymore and it will begin to be something more specific. That will help them to prioritize it in their agenda.
This will also demonstrate that there’s a good management from the very first moment.

WHEN- Make a clear date and time
We would like to insist again about the importance of doing it with enough time. Each team member has its own internal meetings or deadlines for other projects. So it will be nice if you give them a few days to save the date and prepare themselves.
How are they going to do that if they don’t know what the meeting is for?
If you already know the objectives, you can give them a little preview so they can go to the meeting with a bit more information.
This will make them feel more secure and it will improve their attitude towards the new project.
WHY – Time to connect and motivate
It is time for the most important part of any kick off. The “why” connects all the participants with the sense of the project and its motives.
-It gives a purpose, because it helps them to understand the reasons of their work beyond their daily tasks.
-It generates alineation, and everyone goes in the same direction.
-It motivates, because all the members will know the benefits that the project will bring into the future.
-It makes decision-making easier, because it keeps the focus where it has to be and it helps prioritize.
-It creates a sense of commitment, because everyone involved understand the impact of their work.
To be able to develop a proper “WHY” it is like transform the starting point into a beginning full of sense.
